Introduction

The Hospital Report Dashboard is designed to provide a comprehensive, user-friendly reporting system that simplifies hospital management. By integrating directly with the hospital’s HIS system, it gathers real-time data and presents it in an intuitive format, making it easier for key decision-makers to access and analyze critical information. This app enables head nurses, admission managers, and hospital IT personnel to monitor patient flow, including details on discharged
patients, absconded cases, and department-specific patient statistics.

My Role

As the UI/UX Designer, I was responsible for identifying user
needs, developing effective solutions, and designing the entire user interface.
This project wasn’t very large in scope and was completed within two months.

In developing this dashboard, we employed a design system approach. During the initial phase, our design team conducted interviews with hospital administrators and the IT department to understand their needs and determine what data should be displayed on the new dashboard. Their main challenge was the complexity and scattered nature of information in the HIS system, which often took too long to access critical data, such as patient counts in each department and nurse-to-patient ratios. We aimed to design a dashboard that would present the necessary data in a simple, real-time manner.

Pain Points

  1. Lack of Comprehensive Financial Insights: Hospital administrators often lack clear, department-specific data on revenue, expenses, and profitability, making it difficult to allocate resources effectively.

  2. Manual Data Compilation: Current methods of collecting and analyzing patient and staffing data, such as nurse-to-patient ratios, are often manual or scattered across different systems, leading to inefficiency.

  3. Disorganized Information Presentation: Hospital staff often struggle with complex and non-user-friendly interfaces that require extensive training, leading to confusion and decreased efficiency in accessing key data.

  4. Data complexity in the HIS system: Hospital administrators often face a complex interface and scattered information in the HIS system, making it time-consuming and difficult to access essential data.
  5. Lack of real-time data updates: The HIS system does not provide real-time updates for critical data, such as patient counts in each department, nurse-to-patient ratios, and bed occupancy rates, which hampers fast decision-making.
  6. Lack of comprehensive and department-specific insights: Hospital administrators need quick access to section-specific data to manage resources more efficiently, but the current HIS system does not adequately offer this functionality.
  7. Non-user-friendly HIS interface: The HIS system requires extensive training and technical experience, reducing staff efficiency in accessing key information.

Problem Statement

Hospital administrators and department heads need a comprehensive, real-time reporting tool that integrates seamlessly with the hospital’s HSE system. This tool should provide clear and actionable insights on financial performance, human resources allocation, patient flow, and bed occupancy rates across departments to improve decision-making, optimize resources, and ultimately enhance patient care.

User Persona

Solution

The Hospital Report App provides a centralized, user-friendly platform that pulls data from the hospital’s HSE system and organizes it into intuitive reports and dashboards.

  • For Finance: The app offers detailed reports on each department’s revenues, costs (both fixed and variable), and profit margins, allowing administrators to easily see which departments are performing well and where improvements are needed.

  • For Human Resources: The app tracks staff-to-patient ratios, helping HR and department heads ensure that they have adequate staffing levels to meet patient care needs. Real-time updates on physician and nurse availability provide additional control.

  • For Patient Distribution: The app tracks the distribution of patients across departments and beds, including detailed breakdowns of age and gender. It also monitors bed occupancy rates, allowing departments to manage capacity more effectively and reduce patient wait times.

  • Real-time Data: With its real-time dashboards, the app gives hospital decision-makers immediate insights into key metrics, from financial performance to bed availability, supporting faster and better-informed decision-making.

Wireframe

For the wireframe phase of this hospital reporting app, we focused on translating user needs into a functional and intuitive layout. The wireframes provide a clear, low-fidelity visual representation of the app’s structure, ensuring that key features like financial insights, patient flow, and staffing ratios are accessible with minimal navigation complexity. Our goal was to keep the interface simple yet comprehensive, allowing hospital administrators to quickly view critical data and make informed decisions. This early design phase helped us gather feedback and refine the app before moving into high-fidelity prototyping.
